ChefSums: Recipe Costing & GP

Terms of use and legal information

ChefSums (formerly PrepSheet). ChefSums is the new name for PrepSheet. Only the name has changed: who we are, how we use your data and your rights are the same.

The short version: the tools are free to use, the numbers they give are only as good as the prices and quantities you put in, and paid templates and scan pages are covered by your statutory rights as a consumer.

Using the tools

ChefSums' calculators, recipe tool, guides and templates help you estimate recipe, portion and menu costs from the ingredient and pack prices you enter. They are a practical aid, not accounting, tax, food-safety or business advice. You are responsible for checking your inputs, yields, allergens and selling prices, and for whether a result suits your kitchen. Keep your own copies of important recipes, and check that an exported or printed sheet is complete before you use it in service.

The ChefSums connector for AI assistants

The ChefSums MCP connector (https://chefsums.com/mcp) is free and gives the same results as the free calculators on this site. Everything under "Using the tools" applies to it too: the figures are estimates, only as good as the prices and quantities sent in, and they are not accounting, tax or food-safety advice. An AI assistant can misread or change what you asked, so check the numbers before you rely on them. Starter recipe costs use sample UK wholesale prices, not your suppliers' prices. We may limit how often the connector can be called, and we may change or withdraw it. Automated use that tries to overload it or to reach anything other than its published tools is not allowed.

Accounts

You can cost, scale, print and export without an account. An account is optional and only needed to save a cloud copy of your recipe book or to use the invoice scan. You can delete an account and its data at any time from the account deletion page. How account data is handled is set out in the privacy policy.

Purchases

Paid templates are sold through Etsy, and Etsy's own terms apply to those orders. Scan pages for the invoice tool are paid for by card through Stripe; the price is shown at checkout before you pay. The optional ChefSums Plus subscription is covered in its own section below. If something you bought does not work as described, email us and we will put it right or arrange a refund. Nothing here limits your statutory rights.

ChefSums Plus

ChefSums Plus is an optional paid subscription, supplied by Michael Price Robinson, trading as ChefSums (formerly PrepSheet) (details under Who we are). Everything in the free plan stays free. These terms add to the rest of this page. If you are a consumer, nothing here limits your statutory rights.

What Plus includes. Unlimited cloud recipes (no 25-recipe limit; one recipe book holds up to 500 recipes), 100 invoice scan pages each month, the menu GP dashboard, 12-month ingredient price history and branded prints. The current list and prices are on the pricing page. We may improve Plus over time. If we ever remove a main feature you pay for, we'll tell you by email first, and you can cancel and get a refund for any time you've paid for but not used.

Price. £12 a month or £120 a year. We are not VAT-registered, so no VAT is added, and the price shown at checkout is the price you pay. Payment is by card, including Apple Pay and Google Pay, through our payment provider Stripe. We never see or store your full card number.

Free trial. New subscribers get one 14-day free trial per person. You don't need a card to start it. The trial includes 20 invoice scan pages; the full 100 pages a month start with your first payment. If you've added a card by the end of the trial, Plus carries on and your first payment is taken on the day the trial ends, at the price you chose. If you haven't added a card, your account goes back to the Free plan automatically and you are not charged. Your recipes stay saved either way. We check whether an email address has already had a trial, as explained in the privacy policy.

Founding price. The first 50 paying subscribers on the monthly plan pay £9 a month instead of £12 for as long as their subscription continues. You choose the founding price at checkout, and your place is confirmed when your first payment goes through, not when a trial starts. If all 50 places are taken before your first payment, that first payment is still £9 as shown, and from your next renewal Plus is the standard £12 a month. We tell you this on your account page, and you can cancel at any time. If you cancel and later subscribe again, the standard price applies. A founding place can't be transferred, and once taken it is not given back to the pool.

Automatic renewal. Plus renews automatically at the end of each month or year, and the card on file is charged on the renewal date until you cancel. Your account page always shows your plan, the price and the next renewal date. Stripe emails you a receipt for every payment. If we ever change the standard price, we'll email you at least 30 days before it applies to you, and you can cancel before then. The founding price is not changed for as long as your subscription continues.

If a payment fails. We tell you on your account page and Stripe may email you. The card is tried again over the following days. If it still can't be charged, your account moves to the Free plan. Your recipes stay saved; anything beyond the free plan's 25 cloud recipes stays on the device you made it on until you subscribe again or remove recipes.

Cancelling. You can cancel at any time from your account page (Manage billing → Cancel), in two clicks, or by emailing us. When you cancel, you keep Plus until the end of the period you've already paid for, and it doesn't renew. If you cancel during the free trial, the trial ends and you aren't charged. Deleting your account cancels Plus straight away.

Refunds. Ask within 14 days of your first payment, or within 14 days of an annual renewal, and we'll refund that payment in full. You don't need to give a reason. Email chef@getprepsheet.com from the address on your account. Refunds go back to the card you paid with, normally within 5–10 working days of us confirming. Your account then moves to the Free plan. Outside those 14 days, cancelling stops future payments but doesn't refund the current period, unless Plus hasn't worked as described (see below) or the law says otherwise.

Your legal right to cancel (consumers). If you buy Plus as a consumer, you have a legal right to cancel within 14 days of the day after you sign up (the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013). When you start a trial, you are signing up, so the 14 days start then, not at your first payment. The trial is free, so cancelling in that time costs nothing. Because the trial lasts 14 days, your legal cancellation period will normally have ended by the time of your first payment. That is why we give everyone the 14-day full refund above, counted from the first payment. If you subscribe without a trial, the service starts straight away at your request, and our refund promise means you still get your money back in full if you cancel within 14 days. To cancel, use your account page or email us with a clear statement that you want to cancel.

Business customers. If you use ChefSums for a business (most kitchens do), the consumer cancellation rights above don't apply by law, but you get the same trial, cancellation and 14-day refund promise.

Invoice scan pages. Plus gives you 100 scan pages for each paid month; annual subscribers get 100 each month of their year. Unused Plus pages don't carry over to the next month, and they end when Plus ends. Pages you buy in packs are separate: they never expire, and Plus pages are used first. Scanning reads your invoices automatically and can make mistakes, so check the prices it fills in before you rely on them. Scan pages are for your own business's invoices; don't use them to resell scanning or process other people's documents in bulk. If an account is clearly being misused in this way, we may pause scanning on it and will contact you first.

If something goes wrong. If Plus doesn't work as described, tell us and we'll put it right. If we can't, we'll refund you for the affected time. As with the free tools, the numbers depend on what you enter, and Plus isn't accounting, tax or food-safety advice.

Ending Plus ourselves. If we ever stop offering Plus, we'll give you at least 30 days' notice by email, refund any time you've paid for but won't get, and make sure you can export your recipes.
